Your account is the part of devlin.ai that belongs to you as a person rather than to a workspace: your profile, the email you sign in with, your theme, your weekly digest preference, and the option to delete everything. Every signed-in user has these settings, in any workspace role and on all plans.
Where your account settings are
Go to Settings → Account, or open the account menu in the top bar and select Account settings. Opening Settings without choosing a section also lands on this page.
In the settings sidebar, the page is listed as Account under Your account, next to Workspaces. The sections above that group belong to the workspace you have active. The Account page is the same whichever workspace is active.
The page has sections for your sign-in email, the weekly digest, two-factor authentication and deleting your account. Your theme is chosen from the account menu in the top bar (see "Theme: dark, light or system" below), and your profile is asked on the welcome form and can be changed later on the personal workspace's General settings page. Two-factor authentication (multi-factor authentication) is also set up on this page; see SAML SSO and multi-factor authentication.
Your profile
The first time you open the dashboard, devlin.ai shows a Welcome to devlin.ai form over the simulation library. It asks for:
- Name. Required. If you signed up with Google or Microsoft and that account has a name, it is filled in for you.
- Role. Optional. Choose from Aspiring Instructional Designer, Instructional Designer, L&D Manager, L&D Executive or Other.
- Company. Optional.
- How many people create training at your org? Optional. Choose a team size range from the list.
Select Start Building to save. The answers are saved to your personal workspace, even if another workspace is active at the time. After you save, the dialog for creating your first simulation opens. See Creating a simulation.
The form cannot be skipped or closed: your name is needed before you go on. If saving fails, Continue without saving appears so you are not held up. The create dialog still opens, and until a name is saved for your personal workspace, opening the dashboard home with your personal workspace active brings the form back.
Change your profile later
- Switch to your personal workspace with the workspace switcher in the top bar.
- Open Settings, then General.
- In Your profile, change your name, role, company or team size, then select Save profile. "Profile saved." confirms it.
Your name is required to save. The other three fields are optional. The Account page does not show these profile fields.
Change your sign-in email
Your sign-in email is the address you use to sign in and where account notifications are sent. Changing it takes a code sent to the new address.
Before you start, make sure you signed in within the last 15 minutes. If your last sign-in is older, devlin.ai asks you to confirm it's you before it sends anything:
- If you have a Google or Microsoft sign-in linked, you are sent to that provider and returned to the Account page. Repeat the steps.
- Otherwise a sign-in code is emailed to your current address, and a Sign-in code field appears in the section. Enter the code and select Confirm it's you. The change then continues on its own. Send a new code emails another one.
- If your account has two-factor authentication, you may be asked for your authenticator code after that. Then repeat the steps.
If your account signs in through SAML single sign-on, your sign-in email cannot be changed here. The section shows your address and tells you it is managed by your organization's single sign-on. Ask your IT team to change it with your identity provider.
- In Email address, type the new address in New email and select Send verification code.
- Open the inbox of the new address. The email contains a 8-digit code that expires after 10 minutes.
- Under Check your inbox, type the code in Verification code and select Verify and change email.
The page shows Email changed with your new address. When the change goes through:
- You are signed out on all devices.
- Any Google or Microsoft sign-in that was linked to the account is removed. Sign back in with Google or Microsoft using the new address, or with an email code sent to the new address.
- Your personal workspace's email is updated, and so is the billing contact email for your personal workspace if it has one.
- An organization you own whose contact address was your old address is updated to the new one. If you undo the change, it goes back.
- Pending invitations to organizations that were sent to your old address are revoked. Ask to be invited again at the new address.
- The change is recorded in the activity log of each organization you belong to.
- A notification is sent to your old address with a link and a code for undoing the change.
Things that stop a change:
- The new address has to be a valid email address that is different from your current one. An address that already belongs to another account, or that another account changed away from in the last 72 hours, is refused with "This email address is unavailable. Please choose a different one."
- You can request a code up to 5 times an hour. After that you see "Too many attempts, try again later".
- Requesting a new code cancels the previous one.
- A wrong code shows "Incorrect code". Each code allows 5 tries. The last wrong try shows "Too many attempts. Cancel and request a new code." and the code stops working: select Cancel and start again.
- A code entered after it expired shows "Code expired". Select Cancel and start again.
Undo an email change
If your email was changed and it was not you, you can put the old address back for 72 hours after the change. You do not need to be signed in.
- Open the notification that was sent to the old address and follow the link in it. The link opens the Revert email change page.
- Type the 8-digit revert code from the same email in Revert code.
- Select Revert change.
When the revert goes through:
- The old address is the sign-in email again.
- The Google or Microsoft sign-ins the account had before the change are restored, and any that were linked after the change are removed.
- Every session on the account is signed out. Select Go to sign in to sign in with the old address.
- Both addresses get an email confirming the revert.
- Organization invitations that were revoked by the change stay revoked.
During those 72 hours, nobody else can sign up with the old address or change their email to it, so it stays free for a revert.
A code that is wrong, already used or past the 72 hours shows "Invalid or expired revert code." Each change allows 10 tries at the revert code in total. If the link is opened without its request ID, the page asks you to open it directly from the notification email. If the code has expired or does not work, use the contact support link at the bottom of the page.
Theme: dark, light or system
devlin.ai is dark by default. You can switch it to a light theme, or have it follow your device.
Open the account menu in the top bar. Under Theme, select one of:
- Dark. The default.
- Light. A light background with dark text.
- System. Follows your device's light or dark setting, and changes with it while the page is open.
The change applies as soon as you select it, and the menu stays open so you can see the result.
What the theme covers:
- The builder, your settings, the public devlin.ai pages, the documentation, review links and the pages where you test a simulation, coach or evaluator.
- It does not change what learners see. Simulations, coaches, evaluators and journeys keep the appearance you set for them, and so does a preview of one inside the builder. See Appearance and branding.
- Hosted projects, emails and downloaded files are not affected.
Where your choice is kept:
- When you are signed in, the choice is saved to your account. It applies in every workspace and follows you to other browsers and devices when you sign in there.
- When you are signed out, the Theme control is at the bottom of the devlin.ai pages and at the top of the documentation. The choice is kept in that browser.
- If the choice cannot be saved to your account, a notice says "Theme applied in this browser" and "It could not be saved to your account. Choose it again to retry." The theme still changes in the browser you are using.
Weekly digest
The weekly digest is an email that summarizes how learners practiced in a workspace's simulations over the past week. It lists completions, active learners, pass rate (with the change from the week before, when there is one) and credits used, and has a View results button.
- When it is sent: once a week, on Monday. A workspace only gets a digest for a week in which at least one learner took a turn in one of its simulations. Test conversations do not count.
- Who gets it: every active member of the workspace, at their sign-in email. If you belong to several workspaces with activity, you get one email for each.
- Default: the digest is on for everyone until they turn it off. Anyone who unsubscribed from devlin.ai marketing email before the digest had its own unsubscribe link has the digest turned off, and can turn it on again with the checkbox.
To turn it off, clear Email me the weekly digest in the Weekly digest section. To turn it back on, select it again. The change is saved as soon as you select the checkbox. If it cannot be saved, the checkbox returns to its previous state and you see "Couldn't save your preference. Try again."
The preference belongs to you, not to a workspace: it covers the digest for every workspace you are a member of, and it does not affect what other members receive.
Each digest has a Manage digest settings link that opens the Account page. The Unsubscribe link in the footer does the same thing as clearing the checkbox, without signing in: it opens a page that asks you to confirm, then turns the weekly digest off for you, in every workspace you belong to. It does not change what other members receive, and it does not opt you out of other devlin.ai email. The Unsubscribe link in a devlin.ai marketing email, and in a digest sent before the digest had its own link, opts you out of marketing email and also turns your weekly digest off.
Delete your account
Deleting your account is permanent and happens right away. There is no waiting period and no way to restore it.
What is deleted:
- Your personal workspace and everything in it: simulations, coaches, learner conversations and results, knowledge documents and hosted project files.
- Every organization where you are the owner and the only active member, with everything in it.
- The subscription of each deleted workspace, which is cancelled, along with the workspace's billing customer record.
- Custom domains of each deleted workspace, which are disconnected.
- Your sign-in, your sessions on every device, and your email preferences.
- Pending organization invitations addressed to your email.
In organizations you belong to but do not own, you are removed as a member and your email address is removed from their activity logs. Content in those organizations stays.
devlin.ai keeps a record that the account was deleted. It holds a one-way hash of your email address, not the address itself.
What blocks deletion:
- You own an organization that has other active members. You see "You own organizations that still have other members. Transfer ownership or delete those organizations first." followed by the names of those organizations. Transfer ownership to another member or delete the organization, then try again.
- Your last sign-in is more than 15 minutes old. You are asked to confirm it's you, the same way as for an email change: through Google or Microsoft, or with a sign-in code entered in the section. An account that signs in through SAML single sign-on is asked to sign out and sign in again through single sign-on instead.
An active subscription does not block deletion. It is cancelled as part of it.
To delete your account:
- In Danger zone, select Delete account.
- Type your sign-in email in the box exactly as it is shown above the box. Permanently delete account stays unavailable until what you typed matches.
- Select Permanently delete account.
You are signed out and taken to the devlin.ai home page. To back out before the last step, select Cancel and nothing is deleted.
